Freezing / Unfreezing or Closing Cards

If you believe your Zena card is lost or stolen, please cancel it in your Zena account and review any recent transactions for fraudulent activity to dispute. You may also follow up with the Zena Member Support team for assistance.

Admins can freeze, close, or report cards as stolen within the account at any time.

You may wish to freeze or close a card if an employee believes that their card was left at a local vendor,  if they are going on extended leave, or close the card if someone has permanently left the company.

In this article, we'll describe the difference between these actions, when you might want to take them, and how to complete each action within Zena.

Please note that your team members can also complete the actions below to cards or projects they created at any time in their Zena account.

Freezing Cards

Freezing a card will stop all transactions from taking place from your card. You can freeze your own card if you’d like to prevent it from being used or, as an account or card admin, freeze the card of one of your employees.

Freezing cards can be a temporary action that can be undone at any point to allow purchases from the card again. However, if you choose to close a card, this is not a reversible action and will permanently remove it from use.

You can freeze a card at any time by following the steps:

  1. Log in to your Zena account and navigate to Cards in the left navigation menu.
  2. Find the card you'd like to freeze and click the last four digits of the card number next to the card name to open the card details.
  3. Select Freeze using the drop-down menu located above the card, as shown below.

Selecting this action means that if anyone attempts to use the card, all purchases going forward will be declined. Unfreezing the card will immediately undo this action so that purchases can occur again.

Closing a Card

Selecting this action means that if anyone attempts to use the card a gain, all purchases will be declined. You cannot undo this action, and the card will be reported to Visa as closed permanently. 

Closing a team member's Zena card is a more permanent action as this cannot be undone, unlike freezing a card. You'll want to use this once a project has been completed (virtual cards) or if your employee has left the business.

Please follow the directions below to close a virtual or physical company card:

  1. Log in to your Zena account and navigate to Cards in the left navigation menu.
  2. Find the card you'd like to freeze and click the last four digits of the card number next to the card name to open the card details.
  3. Select Close using the drop-down menu located above the card, and confirm on the pop-up window as shown below.
