About the QuickBooks Integration

Zena connects to your QuickBooks Online account to accomplish two main tasks:

  1. Inherit your QuickBooks Accounting Categories
    • Zena imports your QuickBooks categories, such as "Cost of Goods Sold." You can set it to require these expense categories to be used for every transaction.
  2. Send Zena Card Expense Data to QuickBooks
    • All categorized expenses from your Zena card transactions are sent to QuickBooks, helping your bookkeeper work quickly and accurately.

How Zena and QuickBooks Match Data

QuickBooks categorizes transactions into two main types:

  1. Bank Feed - This includes all card and bank transactions but lacks detailed information, much like a basic credit card statement. These appear immediately in your Zena account Transactions after you swipe your card for a purchase.
  2. Expenses - These are detailed versions of the bank feed transactions, including categorization data from Zena. When you add the required details in our Organize tab, we send an "Expense" to QuickBooks Online with helpful information like receipts, memos, and project data.

The Matching Process:

Through the integration, Zena saves time by transferring transaction details to your QuickBooks Online account. Each purchase made with a Zena Card is sent to QuickBooks as a fully categorized expense. QuickBooks Online automatically links these expenses to the corresponding card transactions, allowing your bookkeeper to match them effortlessly with just a click.

Information Transferred to QuickBooks

You will see the following information from Zena shared with your QuickBooks Online account:

  • Transaction date
  • Merchant name
  • Transaction amount
  • Transaction description
  • Receipts*
  • Memos*
  • Accounting tag
  • Project name
  • PO Code

*Remember to review your settings to confirm you're requiring all the necessary information, such as receipts and memos

Zena sends expenses to QuickBooks Online only after all your specified requirements are fulfilled. If you require a memo, for example, we will wait to send the transaction until you’ve added it. Additionally, if you make any updates to a memo after the transaction has been sent, we’ll ensure that the changes are reflected in QuickBooks Online as well. This way, you can always keep your records accurate and up to date!
